@wurlycorner - public liability insurance is a must for this........does that put us out of contention??

That's bollocks (but unfortunately not that uncommon these days).
However, public liability insurance for small event stuff like this can actually be very cheap (the show isn't small, but the club stand is and the exposure from).
I have a friend in a norfolk car club who organises their stands and has had to do that stuff recently. He organised 2 stands for this http://www.necrestorationshow.com/ last week. I know he had to do a load of RAMS for setting up the stand etc. but we didn't discuss liability insurance.
I'll ask him what he knows...

Yeah please do. I've never had to go this far into organising like this, and for a stand of what may be 5 or 6 cars is it worth it?
